Jim Lawrence is going to touch base with Dr. Newcomb regarding setting up a development fund. Jim asked that we read over material handed out at today’s meeting. Todd suggested that we also ask Dr. Slack, Dr. Smith, Dr. Nameth and Dr. Newcomb for possible monetary donations. Karen Oberrath and Mindy Pillivant volunteered to help Jim Lawrence on this committee. Jim will e-mail updates in two weeks.

Chair Dave Grum called the meeting to order, and he welcomed and introduced two new members. Karen Oberrath replaces Anita Donaldson and Mandy Pillivant replaces Carol Poe. Dave advised new members to feel free to ask questions, send e-mail, or call.
Annual review sheets were passed out. Dave advised that there are three task forces that we need to address: survey, professional development, and marketing.
Professional Development

Task Group for Awareness
Megan needs more input from the marketing committee and wants to do a survey of staff to find out what people desire the most.
The committee developed a timeline. Council should submit members’ input and submit suggestions to Megan so these could be combined in the survey. She wants to have a draft of the survey at the February 2006 meeting.
Megan will e-mail general ideas that have already been collected so members can give other suggestions. Megan has copies of the survey that was done in 2000 and the OARDC distance issues survey, if you would like a copy.
Mentoring Program
Todd handed out a packet of information for new SAC members. He suggested that we ask our HR representative to give us a few minutes with all new employees so we can present them with a SAC packet. Department representatives will give and explain this information to all new employees.
Todd also suggested that when you are in your last year and you have a potential replacement that you bring the person with you to a few meetings so they can become familiar with SAC. This would also be a good way to foster relationships.
The group decided that a mentor will be assigned to new members so the mentor can deliver and review the new member packets, but we are to make sure that it is clear that they can ask anyone for help. Todd Hicks will draft up a letter with mentors’ names for the new employee packets.
The group agreed that mentors should be active SAC members.
Marketing
Dave Sammons was unable to attend so Dave Grum reported that a meeting was held with Bob Furbee and Rob Luikart of Communications and Technology. This meeting was to find out where we are on web site project. Dave Sammons and his committee had previously been working with John Victor on SAC promotional materials. C&T will get back with Dave Grum and Dave Sammons on web site material. Dave Sammons will be in charge of making changes on the web site.
Day with the Dean
Bill explained that a Day with the Dean is conducted in the spring and fall and is available for any college staff employee to shadow Dean Moser for a day.
The first task of the committee is to find a date on Dean Moser’s calendar. The committee will then need to create a poster, create e-mail sent from Dean Moser to unit heads, collect names of all interested people, draw names, notify winners to submit bios, line up a photographer, and go from there.
Bill said we should encourage winners to let SAC know how the day went. The committee would then submit an article for enVision with the winners' names.
This year we had the highest number of participants. A suggestion for next year would be to include the winners’ names, pictures, and comments on our web site.
At our February 2006 meeting we need a volunteer for a Day with the Dean to help Bill. It was encouraged that a Columbus member would be good to co-chair a Day with the Dean with Bill in Wooster.
OARDC Staff Council Annual Meeting
Megan Strother advised that the chair of the OARDC Staff Council invited us to their meeting where there were 50 in attendance. She said this is a good chance to let people know who we are and to find out what other councils are doing.
Support Staff Conference
Dave Grum reported for Teresa Funk. Teresa wants to thank SAC for support and promotion of conference. There were 108 attendees on October 28 (Extension and College), and 89 (Extension only) on October 27. A lot of good reviews were received.
Appointments
Dave Grum postponed making appointments due to the low attendance.
Todd explained that we need one more new member for the Vice President’s Advisory Council. This is a three-year term and an opportunity to meet and have discussions with high level people in AG. If interested eligible members should submit bios to Todd and then membership will vote. Dave Grum will solicit names from new membership.
Travel
Dave Grum reminded us to review the travel requirements for SAC meetings as outlined in the May 18, 2005, meeting minutes. They are as follows:
After travel has been completed, the SAC member should complete a travel form and fax it to Carol Poe (poe.4@osu.edu) at 614-292-1218. The original forms should then be mailed to Carol at the College of Food, Agricultural, and Environmental Sciences, 100 Agricultural Administration Building, 2120 Fyffe Road, Columbus, OH 43210.
The completed travel form should include the SAC member’s name, employee ID number, date of travel, and mileage. The form should also be signed by the SAC member requesting reimbursement. Any other travel receipts should also be attached. If there are questions about submission, individuals are to contact Carol Poe at 614-688-5612.
According to University Policy and Procedures, when traveling to SAC meetings each member should complete a leave form and have it signed and approved prior to attending the SAC meeting. Carol Poe told members who had travel reimbursements that they could go to the Internet to OARDC Center Net and download a PDF form, fill it out, and send it to Carol for reimbursements.
New Business
Dave Grum reported that Tim Butcher is the safety officer for our college and a member of SAC. Tim is in the process of completing the certifications for CPR, and he wants to know if we could provide a thermometer of interest for people in our department who would be interested in taking this class. The cost would be $14-$18 for materials depending on the class size. Dave Grum will send an e-mail to all members addressing this subject.
Adjourn
Dave Grum will send roster of members, list of meeting dates, and names of members that will be responsible for transportation in Wooster and Columbus.
Dave thanked Karen Fedevich and Megan Strother for hosting the luncheon and snacks.
